How does it work?

Workspace


You could imagine a wisestep workspace as your digital workspace where users work individually and in collaboration. Owner creates the workspace for an organisation, creates teams, invite users and manages workspace. A user can be with role job provider or recruiter.


Users


Workspace owner who creates the workspace for an organisation can invite users with two distinct roles - job provider and recruiter.

Recruiters fill positions by finding candidates and having conversations till joining. Job providers create, distribute and manage jobs and share it with teams. Every job provider is by default a recruiter too.


Pieces


The three interrelated pieces - Jobs, Candidates and Teams - are necessary in the recruitment process. Teams of recruiters find and interact with Candidates to fill Jobs. It helps to know about the pieces individually and how they are related to understand how wisestep works.


Jobs


In the workspace, a job provider can create a job and assign or share it with teams. Users who belong to a team to which a job is assigned picks up the job, add candidates and submit. Job providers who belong to a team with which a job is shared can edit, close or re-open the job and can also assign/unassign teams.


Candidates


Recruiters source candidates from various job boards, add them to relevant job and move the candidate through recruitment pipeline. The pipeline has various status or stages which can be configured by workspace owner to match organisations language. One example pipeline could be with status - mapped, submitted, client submission, interview, offer and joining.


Teams


Workspace owner creates teams and invites members. Two kinds of teams are allowed here - job posting team and recruiter team. Members who are part of job posting teams will be job providers and the ones in recruiter teams will be recruiters. There will be limitations on the number of teams that can be created and the size of the team.


Process


Teams or in fact users take help of various tools and processes available on their workspace to find and interact with candidates and fill job positions. Some of the things which are used frequently are Conversations & Interactions, Automated Tools, Search, Follow-Up Tasks and Analytics.


Conversations & Interactions


Recruiter finds candidates and adds them to a job. Each creates a conversation. A conversation has a candidate’s contact information, current and previous work details, expertise, preferences, conversation notes, resume, actions performed by the recruiter and candidate’s response. A recruiter might have to interact with a candidate multiple times to do submission. Each attempt to interact is recorded as an Interaction under a Conversation.

Job & Candidate is a Conversation; each job will have only one conversation with a candidate

A Conversation has multiple Interactions; multiple interactions over a job leads to career choice. Candidate opts to apply for a job and is submitted to the client and might get selected.

Conversations are visible to all users of an organisation workspace, but only the ones who are assigned to the job can update it.

Note: It is not advised to create multiple interactions with a candidate for the same job. Instead, update an interaction with a new conversation. This is how users work in collaboration and avoid duplicates.


Automated Tools


Browser Extension

Recruiters use chrome browser extension which automates extracting candidate information from job boards and add them to their talent pool in two steps - select job and click save. The extension loads automatically on 10+ job boards.


Search


With tons of information getting into the platform every day, wisestep search is a way of finding relevant information, fast. Users search for a candidate using boolean skills, location, recruiter actions, candidate response and many other filters. The same is the case with jobs and other entities.


Tasks and Followups


This is like a To-Do list in recruitment. Submitting a candidate often requires multiple conversations between recruiter and candidate, and it is difficult to remember all the conversation and track follow-ups. So, users create follow-up tasks with details of what to do and when. The user will be notified with a remainder and can choose to execute the action, close the followup or hit snooze.
